Handles all departmental communications to include telephone, radio, written documents, emails, faxes.  Maintains all financial and technical records.  Coordinates purchasing and payables.  Logs data and maintains all equipment & financial records using EXCEL spreadsheets.  Must be proficient in use of EXCEL and other hotel systems.  Will manage and maintain all deadlines.  Must have excellent communication skills and good rapport with all departments and vendors.  Accounting experience is very helpful.

Catering Sales Manager

Responsible and accountable for booking catering events, providing information and direction to all related departments; i.e., Banquets, Banquet Houseman, Banquet Chefs, Stewarding, Accounting, and A/V.

DUTIES/RESPONSIBILITIES:

  1. Handles inquiries generated through the Catering office of solicitations and finalizes said events entirely.
  2. Looks for outside business opportunities through joining organizations or directly soliciting businesses. 
  3. Establishes and/or maintains thorough files for each booking.
  4. Reviews event space blocked for correct time and space allocations, maximizing revenues.
  5. Booking, contracting, designing and executing banquet events from the initial inquiry, to the completion of the event – up-selling at all times and planning special menus as appropriate.
  6. Completes, distributes and interprets Banquet Event Orders
  7. Utilizes proper accounting and credit procedures.
  8. While group is in the hotel, meets and greets guests and executives; reviews all arrangements with each department.
  9. Reviews all bills prior to presenting to guest.
  10. Attends menu readings three days a week to review upcoming events with appropriate staff.
  11. May be assigned other tasks or responsibilities as required or directed. 

MINIMUM REQUIREMENTS

  1. EDUCATION:  Bachelors Degree Required
  2. SKILLS:  Excellent written and verbal communication with customers, vendors and co-workers alike.  Must excel at meeting and exceeding customer’s expectations through personal efforts and directing the efforts of others to achieve the same end.  Demonstrated knowledge/experience in selling, planning and coordinating events.
  3. PERSONALITY:  Must be goal-oriented.  Should have a very even disposition, able to handle stress effectively, and must be a good motivator.  Also should be detail-oriented and very organized.
  4. PHYSICAL:  Must be able to lift up to 20 pounds.
  5. SPECIAL REQUIREMENTS:  Must have a minimum of three years hotel experience, preferably in a luxury hotel with strong Food & Beverage background.  Should have some sales experience, preferably hotel and event related.

Housekeeping Supervisor
